Job Purpose - Overview:
The PMO analyst with will work closely with the Head of PMO (programme management office) and the PMO team to support and enable the successful delivery of the programme, across the programme performing multiple tasks related to the PMO function while holding the prime responsibility for maintaining a programme wide RAID log and actively managing all risks, assumptions, issues and dependencies. They will be also responsible for making significant contributions to the design and implementation of processes related to these areas, analysis of programme data to support the outputs required for various governance forums and stakeholders.
This role involves working directly with the project managers, delivery leads, delivery managers, implementation partners, application providers and third parties. It involves discovery and collection of relevant data across the programme, analysing the data and producing professional quality outputs.
The analyst will follow applied governance to monitor and report on key elements of the delivery through the life cycle, providing recommendations to project managers, delivery leads, other PMO colleagues and the head of PMO to bring in standardisation, consistency and effectiveness.
The role also includes delivering other assigned PMO functions as required by the programme and assigned by the head of PMO or the programme manager
Key Responsibilities:
• Defining, implementing and maintaining an effective risk management process across the programme at multiple levels e.g., programme, project and work stream levels
• Rationalising the current RAID log across the programme and bring in consistency and alignment to the process agreed
• Continuously review the RAID management process for its effectiveness and monitor and manage the same
• Suggest improvements to the RAID management process as and when necessary
• Actively work with all stakeholders to ensure that risk ownership is accepted and acted upon, risk trends are identified, mitigation actions are on track and deviations are captured and dealt with the relevant stakeholder directly
• Make escalations wherever necessary to ensure the integrity and effectiveness of agreed process
• Take responsibility of other analytical functions of the PMO e.g., business benefits consolidation, cost and budget analysis, regular PMO reports, programme and project highlights reports, stakeholder engagement landscape management to maximise outcomes
• Maintain PMO documentation and knowledge artefacts related to their function as well as other PMO function
• Design and implement templates for capturing information related to the PMO function
• Ensure that risks and dependencies are managed on a dynamic basis and dealt with in line with the escalation and governance mechanisms in place
• Ensure the PMO promotes a culture of teamwork, collaboration and provides all appropriate support to workstream colleagues in the delivery of this complex programme
• Ensure that the key programme documents are produced and maintained to support sustaining the business change and building an enduring organisation
Essential Skills and Experience Required
1. Over 7 years of experience in a PMO analyst role with a minimum of 3 years of experience in the PMO function as a RAIDS specialist in a programme with the annual budget of over £25 million
2. Highly proficient in the use of risk management frameworks and tools including modelling of risks in excel and adding RAID information in implementation tools e.g., JIRA
3. Ability to analyse complex programmes and projects and report information in a range of formats
4. Excellent communication skills, written and oral, and be able to present complex or sensitive information effectively
5. Ability to produce professional quality written documents covering assigned area of responsibility for various governance forums e.g., the project, programme, and steering boards
6. Ability to support teams in identification and management of RAID
7. Ability to differentiate between strategic, operational, tactical or other risk categories and manage them accordingly
8. Ability to effectively lead and support teams using a range of methodologies in RAID management
9. Knowledge and experience in applying risk management processes and supporting others to apply risk management methodologies
10. Able to work to deadlines and under pressure in a rapidly changing environment
11. A self-starter who can work independently within a set of guiding principles
12. This is not a co-ordination or a theoretical risk management/ PMO analyst role
13. The role requires an outcome focus to deliver credible project and integrated programme plans within the intent of project and programme management frameworks, while bringing creativity and innovation
14. Proficient skills in the use of MS office products, risk management tools, excel and SharePoint
15. Able to manage competing and conflicting demands and balancing priorities to respond to the changes in service demand
16. PRINCE2 professional or equivalent certification
